This Privacy Policy explains how we collect, hold, use, and disclose your personal information when you use our Recognition of Prior Learning (RPL) assessment platform and related services (the “Service”).
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using the Service, you agree to your personal information being handled as described in this policy.
Personal information we collect
Identity and contact details — your name, mobile number, and email address.
Assessment information — the responses, notes, and supporting evidence or documents you provide as part of your RPL assessment, and details of the qualification you are seeking.
Booking information — details relating to appointments you book with an assessor.
Technical information — your device, browser, IP address, and how you interact with the Service, collected automatically through cookies and similar technologies.
Some evidence you provide may be “sensitive information” under the Privacy Act. We only collect sensitive information where it is reasonably necessary for the assessment and, where required, with your consent.
How we collect personal information
We generally collect personal information directly from you — when you start an assessment online, complete the evidence checklist, verify your mobile number by SMS code, or book an appointment.
Where you are assessed over the phone with a member of our team, we collect your information from you verbally during that call, with your consent.
We may also collect information when you respond to our SMS or email communications, and automatically through your use of our website.
Why we collect and how we use your information
We collect, hold, and use your personal information to: create and manage your account; conduct and assess your Recognition of Prior Learning; communicate with you about your assessment, bookings, and outcomes; provide support; improve and secure the Service; and meet our legal and regulatory obligations as a registered training organisation.
We only use your personal information for the purpose it was collected, for a related secondary purpose you would reasonably expect, or as otherwise permitted or required by law.
Automated processing and AI-assisted assessment
We use software tools, including artificial intelligence (AI) services, to help organise and evaluate the information and evidence you submit and to support the assessment process. These tools assist our team — they do not make final decisions about your qualification on their own.

Disclosure of your personal information
We do not sell your personal information. We disclose it only as described in this policy.
To deliver the Service, we share personal information with trusted third-party service providers who perform functions on our behalf, including: SMS and email delivery; appointment scheduling and customer relationship management; secure cloud hosting and file storage; and AI-assisted document and evidence processing. These providers may only use your information to provide their services to us.
We may also disclose your information where required or authorised by law, to our professional advisers, or in connection with a sale or restructure of our business.
Overseas disclosure
Some of our service providers store or process personal information outside Australia, including in the United States and other countries. Where we disclose personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles.
Direct marketing
We may send you information about our services where permitted by law. Our electronic messages comply with the Spam Act 2003 (Cth) and include a way to unsubscribe. You can opt out of marketing communications at any time by using the unsubscribe option or contacting us. We will still send you messages necessary to deliver the Service, such as verification codes and assessment notifications.
Security and retention
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure, including access controls and encryption in transit.
We retain personal information only for as long as necessary for the purposes described in this policy or as required by law and our obligations as a registered training organisation. When it is no longer required, we take reasonable steps to destroy or de-identify it.
